Booking Details: Guest Details Overview

When a new reservation comes in, the Booking Details page is your central hub for managing everything about that stay. To keep things simple and easy to digest, this guide is divided into three sections: Guest Details, Booking Notes, and the Account overview.

Today, we are going to take a quick tour of the very first section: Guest Details. Here is a run-through of everything you can do from this handy panel.

Finding your Booking IDs

Right at the top, you will spot two different IDs.

  1. The NBID is the unique NightsBridge tracking number. If you ever need to contact us with a question about a specific booking, the NBID is the best number to give us so we can find your guest in a flash.
  2. The Booking ID, on the other hand, is the reference unique to your own property system.

Managing dates and stays

You can easily tweak the arrival and departure dates, or the total length of stay, simply by clicking on those fields.

A quick tip to protect your pocket: If the booking came from an online channel (like Booking.com or Expedia), please make sure any date changes are made directly on that channel first. Date changes often affect the total rate, and updating it on the channel ensures your commission is adjusted accurately.

Rooms, rates, and occupancy

Need to switch things up before the guest arrives? It's all just a click away:

  1. Rooms: You can add an extra room, move the guest to another available room, split up a multi-room booking, or remove a room entirely.
  2. Rates: Simply click the drop-down menu to switch the booking to a different rate or meal plan.
  3. Occupancy: Use the little up and down arrows to easily adjust the number of guests staying.

Updating guest information and check-in

In the Guest Information section, you can

  • edit the guest's profile,
  • swap it for a different profile,
  • drop them an email, or
  • view their guest account
  • remove a second guest's details.

You will also notice convenient Check In and Check Out tick boxes. Just keep in mind that you'll only be able to click these on the guest's actual arrival and departure dates.

Handling extras and everyday communication

We want to bring your most common tasks right to the front line:

  • View Extras: Click this button to quickly see any extra charges that have been billed to this specific room.
  • Guest Communication: This button is a lifesaver! From here, you can easily download, print, or email a booking confirmation. You can also automatically email the guest a link to our Guest Chat, or send them their registration form to fill out online before they even arrive.
