Offering a special package, like a romantic weekend getaway or a corporate deal, is a great way to attract guests. When a guest calls or emails to book one of your special offers, you don't need to manually calculate and change the daily prices. You can simply link their manual booking directly to the package you've already created!
A quick tip before we start: Just make sure the package you want to use is valid for the specific room type and dates your guest is booking.
Here is how to quickly apply a package to a direct booking:
1. Open the booking details:
Start by clicking directly on the guest's booking in your calendar to open up the full Booking Details.
2. Pick your package:
Find the 'Rates' drop-down menu:
- click it,
- and select the specific Package you want to use.
3. Head to your rates window:
Click 'Save' on the booking details. A little pop-up message will appear asking to confirm.
Just click 'No' here. This is a handy shortcut that will take you straight to the 'View Rates' window so you can double-check the pricing.
4. Refresh the pricing:
- If your package uses a different rate sheet, simply select it from the drop-down menu.
- Then, click the 'Refresh' button.
Another pop-up will appear. This time click 'Yes' to let the system automatically update the daily rates to match your special package.
5. Update the deposit:
Now that your total booking price has updated, click 'Save'.
Then, just click the 'Calculate Deposit' button so the system can refresh their required deposit based on your normal policies.
6. Save your changes:
Once everything looks correct, click 'Save' one last time and close the window.
You are all set! The package details will now automatically show up beautifully on the guest's confirmation document and invoice so they know exactly what they are getting.
