How do I change the booking status?

Updating a booking status ensures that up-to-date information is available to those looking at the calendar.  The booking status will dictate the colour of the booking on your calendar. This provides booking statuses at a glance.

Open the booking

Click on the booking to open the Booking Details.

Click on the 'Status' drop-down menu to display the status options.

Change the status of the booking

  1. Select the required status from the available options.
  2. Click 'Save' at the bottom of the Booking Details.

The available booking status options

  • Light Blue (default booking status) - WAITING FOR DEPOSIT:
    No payment has been received for the booking and therefore, it is not yet confirmed.
  • Dark Blue- CONFIRMED:
    Some payment (usually the deposit) hasbeen received and therefore, it has been confirmed.
    The booking status will automatically change from "Waiting for deposit" to "Confirmed" when a payment is entered for the booking.
  • Light Pink - PROVISIONAL:
    The booking is not yet confirmed and the client needs to get back to you to confirm.
    Aa pop-up reminder can be set for a specific date and time as a reminder for you to follow-up.
  • Purple - RESERVED WITH AUTO EXPIRE:
    The booking is not yet confirmed and the client needs to get back to you to confirm.
    You can use the 'Reserved with Auto Expire' status to set a specific date and time for the booking to automatically cancel. This will free up the room(s) and dates for another bookings to be made.
  • Green - PAID:
    The booking is paid in full.
    The booking status will automatically change from "Waiting for deposit" or "Confirmed" to "Paid" when full payment is entered for the booking and the outstanding balance is zero.
  • Red - OUTSTANDING ACCOUNT:
    T

  • Light Grey - UNAVAILABLE:
    This status is often used to block out a room(s) for specific dates. This will prevent the rooms from being booked.
    Bookings with an 'Unavailable' status are not included when calculating occupancy.
  • Dark Yellow - CHECK-IN:
    Bookings for guests that are already in-house (checked-in) can easily be identified on the calendar by their colour.
  • Light Yellow - CHECK-OUT:
    Final payment has been received and the account is closed. You will be able to reflect that the guest has checked out by clicking OUT to change the status of the booking to reflect that the guest checked out.
Bookings with auto-expire

A booking set to 'Reserved with auto expire' functions as a provisional booking with the addition that it will automatically cancel after the set period. You will set the date and time for expiry.

Once it reaches expiry date, the booking will cancel and the inventory will update accordingly.
When you synchronise your calendar, the booking will be removed from system and an e-mail will be sent to your e-mail address to confirm.

NOTE:

  • Expired reservations will appear as cancelled on NightsBridge.
  • Bookings with extras cannot be set to this status.

Setting a booking to auto-expire

  1. Select 'Reserved with auto-expire' as the status.
  2. Set the 'Until' date and time - This is the date and time that you would like the booking to auto-expire.
  3. Click 'Save'
