How to add a booking to your calendar

The 'Add Booking' button on your calendar can be used to reserve (book) or block a room.
If you receive a direct booking on the phone or via email, you need to add the booking to your NightsBridge calendar to block the room and keep your availability up to date. 

Check for Close Outs on Room Types

Your may have a close-out applied to certain rooms for specific reasons.

Before creating a booking, check whether a close-out applies to the room you're going to book.

Close Outs can be seen when switching your calendar view.  It is useful to make sure you do not have any restrictions on the days you want to create the manual booking.

  1. Toggle your calendar view to show you the Room Type View.
    Any Room Types with a Close Out will be highlighted in red.  
  2. In this example, the Double Room room type is closed out from 29 September to (and including) 06 October 2025.
    Hover over the highlighted block to see what kind of Close Out is applied.

Since we'll be creating the booking for a Twin Room (Room 1), this close out won't be an issue.

Toggle back to your calendar view back to the Physical Room view to add a booking.

Select the room and dates of the booking

  1. Click once on the chosen arrival date
  2. Then click once on the chosen departure date
    The selected the stay dates will be highlighted.
    Imaged below, the booking is in Room 1 from the 02 to 06 October 2025.
  3. Click to 'Add Booking'.

Add guest details

  • Start typing in either of the fields, First Name, Surname or Company name.
    A list of existing guests with matching first names, surnames and/or company names will appear in the box below the search fields if a guest has booked with you before.

Does the correct client appear?

Check whether the correct client profile appears below the search field

This client has an existing profile.

  • Select the guest from the drop down list.
    This will have the existing client information and will avoid you creating a duplicate client in NightsBridge.

Add the booking

  1. Update the number of guests for this booking.
  2. Click on 'Add Booking' when you are happy that the information is correct.
    The 'Booking Details' will display.

Save and close the booking

  1. Click to 'Save' the booking.
  2. Click on the 'X' to close the Booking Details.

The booking will display on the Calendar

There is no existing client profile.

  1. Type in the new guest's name, surname, email and phone number.
  2. Update the occupancy if needed
  3. Click 'Add Booking'

The Booking Details will display

Save and close the booking

  1. Click to 'Save' the booking.
  2. Click on the 'X' to close the Booking Details.

The booking will display on the Calendar

Congratulations, you are done!
