An online guest check-out form is a convenient way to have a guest settle their bill and check out.
This online check-out form acts as the bill or pro forma that would generally be handed to the guest should they be settling their account and checking out in person.
Open the booking for the departing guest
Click on the booking to open the Booking Details.
The 'Check Out' feature is available in two areas on NightsBridge.
Choose the method of sending the check out link.
A window will appear with two options.
This option will automatically copy and hold the link on your computer's clipboard for you can paste it into communication/message you're wanting to send to the guest.
The clipboard is the software on your computer that temporarily stores information for you to copy and paste.
Completing the Checkout form
Once the guest opens the link in the received email, they are able to complete the form.
The guest will select their preferred payment method to settle their outstanding account.
When choosing the credit card option, the card details provided will automatically be debited by PayBridge or your active payment gateway once they click 'Continue'.
You will receive an email notifying you of the successful transaction.
Without a payment gateway the credit card transaction will not be processed.
To process the payment, you would need to retrieve the credit card details and process the transaction manually on your credit card machine.
If you do not use a payment gateway, we recommend that you apply for PayBridge.
Please note:
Transactions for R 10.00 or less cannot be processed via the online check out link.
If a guest needs to process a payment for R 10.00 or less, a standard PayBridge link needs to be used.

For a successful credit card transaction, the payment will automatically be entered on the booking account.
Once the account is settled, we recommend sending the guest the final (tax) invoice via email.
NightsBridge will always attempt a 3D-Secure transaction if this is supported by the credit card being charged.
The card holder will be required to enter an OTP (One Time Pin) or authorise the transaction on their banking app.
Please Note:
You are still required to get the guest to sign the Credit Card transaction slip as part of the check-out process.
A good time to o this is when the guest returns the room key before physically leaving the property.
When selecting EFT as a the payment option, the guest will be provided with your banking details.
The guest will need to deposit the payment via EFT and provide you with the proof of payment.
