How to apply an alternative rate sheet to a booking

Getting a direct booking or a walk-in guest is always a win! If you have a special price for them—like a corporate rate or a returning guest discount—you don't need to manually type in the new price every single time. Instead, you can simply switch their booking over to an alternative rate sheet you have already set up.

A quick tip on channel bookings:

It is always best to only use this feature for your manual, direct bookings. If a booking dropped in from an online channel, you should leave the rate sheet as it is, otherwise it can cause mix-ups with their commission.

Here is how to quickly switch a booking's rate:

1. Open the booking details:

Start by clicking directly on the guest's booking in your calendar to open up the full Booking Details.

2. Check the pricing:

Click on the 'View Rates' button to open up their pricing details.

3. Pick your new rate:

  1. Click the drop-down menu. It will usually show your standard RACK rates by default, but you can simply click it and
  2. select the special STO or alternative rate sheet you want to use instead.

Just make sure the room type they booked has been added to that specific rate sheet!

4. Refresh the pricing:

Click the 'Refresh' button. A quick pop-up will ask you to confirm.

Just click 'Yes', and the system will automatically update the prices to match your special rate!

Save your changes:

  1. Click 'Save' to close the View Rates screen, and then click 'Save' one more time at the bottom of the main Booking Details window to finish up.
