How to apply an alternative rate sheet to a booking

By using a different rate sheet that you have set up on your setup, you can modify the pricing for a direct booking without having to manually input the rate each time. This is helpful for direct bookings, like walk-ins, if you have a different rate sheet that isn't bookable online so you don't need to manually remember to enter the rate.

This article will walk you through how to switch the rate for your direct booking from the default RACK rate to the alternative (STO) rate sheet.

Bookings received from channels
Do not change the rate sheet on bookings received from booking channels. The rates are (generally) directly linked to the commission amount. Any rate changes should come from the booking channel itself - this way the commission would have been adjusted accordingly by the channel as they are aware of the change.

Make sure the room that has been booked is part of the room types that have been set up on the STO rate sheet. The room type must be set up for the rates to update correctly.

If you have a client that books your property regularly that requires a different rate sheet, you can apply this rate sheet to the client by following these steps.

Open the Booking Details

Once you have made a booking, open the Booking Details of the booking.

  • Click on 'View Rates'.

Select the rate sheet

  1. Click on the drop-down to select the assigned rate sheet.
    RACK rates will be selected as a default.
  2. Select the existing STO rate sheet you want applied to the booking.
  3. Click the 'Refresh' button to update the rates you have set for the STO rate sheet on the Setup.

  • Click 'Yes' to confirm that you want to refresh the rates.

Note that the rates have updated.

  • Click on 'Save'.
    The View Rates page will close once saved.

Click 'Save' on the Booking Details.

  1. Click 'Save' at the bottom of the Booking Details window
  2. You can now close the Booking Details.
