How to Adjust a Guest's Account Using a Journal Entry

Sometimes you might need to make a manual adjustment to a guest's account, like writing off a tiny outstanding balance or correcting an internal record. Making these small adjustments keeps your books perfectly balanced.

Here is exactly how to issue a journal entry:

Step 1: Find your client

Simply click on 'Clients' at the top of your screen and select 'Client Search'

  1. Search for your specific guest,
  2. and once you spot their name in the results, click right on it.

Step 2: Add a new transaction

Look for the 'Transactions' tab and click on it.

Then, simply click the 'Add' button to start capturing your new entry.

Step 3: Capture the adjustment details

A little window will pop up where you can easily complete the specific fields for the transaction:

  • Type: Choose 'Journal' from the handy drop-down list.
  • Date: Select the correct date for the adjustment.
  • Amount: Because you are usually writing an amount off or reducing a balance, remember to add a minus sign (-) to make it a negative amount.
  • Reference: Add a helpful note or reference so you remember exactly why this adjustment was made.

Once you are happy, simply click 'Save'.

Step 4: View your updated account

You can easily view all of your updates under the 'Edit client' screen, where you will see your brand-new journal entry neatly added as a transaction.
