How to generate a statement for a guest

You can produce a statement for a guest. This will provide guests with a document of all transactions or outstanding transactions for an account.

Statements are available in both Excel and PDF formats.

Generating a statement

Open the account

Click on a booking.

Click 'View Account'.
The Account Summary will appear.

Open the statement

Click 'Statement'.

Choose the type of statement

  • Choose to either:
    a) Show all transactions, or
    b) Show outstanding transactions.
  • Select 'Show All Transactions' if your guest wants to confirm that the transactions they have on their side matches up with yours.
  • Select 'Show Outstanding Transactions' if your guest only needs a breakdown of the transactions that should still be paid.

If all transactions are settled and you generate an outstanding statement, the last settled transaction will show.

  • Then click either 'Download Excel' or 'View PDF'.
When selecting 'Download Excel'

There is no template to customise the Excel format of the statement.

Choose 'Open' or 'Save File' to open or download the statement.

The statement shows the selected transactions you ticked for the guest. In this example, the outstanding transactions will display.

When selecting 'View PDF'

The Guest Statement Preview will open.
You will have the following statement options:

  1. Email
  2. Print
  3. Download

To email the statement

Click 'Email'.

  1. A pop-up will appear with guests email address - this will only appear if already added to the client info.
    If needed, add additional email addresses separated by commas.
  2. Select the 'Send me a copy' tick-box if you would like to receive the statement as well.
  3. Click 'Send email'.

To print the statement

Click 'Print'.

  1. Your connected printer will default as the destination for printing.
  2. Click 'Print'on the printer dialog box.

To download the statement

Click 'Download'.

The statement will either open automatically or you may need to retrieve it from your downloads folder - this differs based on computer settings.
