The difference between a pro forma invoice and a final (tax) invoice?

You can generate both a pro forma and final (tax) invoices on NightsBridge.

Please check with your accountant or bookkeeper bookkeeper to find out how they recommend you use these two documents.

What is a pro forma invoice?

  • The pro forma invoice is an information invoice (and can be used as a quote) show a costing. This could include the deposit.
  • You send a guest a pro forma invoice before they arrive or during their stay should they want an update on their current account.

What is a final (tax) invoice?

  • An invoice is a financial document with tax implications for both you and the guest.
  • We recommend you generate your final (tax) invoice once all the charges and payments for the booking are captured on the account. This is most likely when the guest checks out at the end of their stay.
  • If you are invoicing a company or agency, they may ask you to issue a tax invoice in advance to pay you. If the booking is confirmed and the company is happy with the charges on the pro forma invoice, you can generate the invoice at this time.
    If any additional charges arise when the guest stays with you, these extras can be billed to a separate account.
