How to Give a Guest a Partial Discount Using a Manual Credit Note

Sometimes you just need to give a guest a small discount, or perhaps you need to credit a partial amount back to their invoice. Keeping your financial records accurate is incredibly important.

If you do need to issue a partial, manual credit note, here is exactly how to do it:

A quick tip before you start:

Manual credit notes are only used when you want to credit a partial amount of an invoice! If you need to cancel an entire invoice for a booking or an extra, you don't need to do it manually. Simply 'reopen' the account, and your NightsBridge system will automatically do the heavy lifting and pass the credit note for you!)

Step 1: Find your client

Simply click on 'Search' at the top of your screen and select 'Clients'.

Type in your guest's details, and once you spot their name in the results, click right on it.

Look for the 'Transactions' tab and click on it.

Then, click the 'Add' button to start capturing your new entry.

Step 3: Fill in the credit note details

A little window will pop up where you can easily complete the fields for the transaction:

  • Type: Choose 'Credit Note' from the drop-down list.
  • Date: Select the correct date for the transaction.
  • Amount: Type in the partial amount you are crediting.
  • Reference: Add a handy note or reference so you remember exactly what this credit was for!

Once you are happy, simply click 'Save'.

Step 4: View your new entry

You can now easily view all of your updates under the 'Transaction tab' on your Edit Client screen, where you will see your new credit note neatly added as a transaction.

One last quick tip:

Because this specific credit note is manually added to adjust your financial records, it isn't associated with the original invoice. This just means the system won't automatically generate a physical credit note document for this specific entry. If your guest specifically requests a document for a manual credit, you will just need to manually create one for them outside of the system!
