Handling corporate bookings is a great way to boost your occupancy, but their payment rules can feel a little different from standard guest bookings. Because of their corporate policies, TravelIT payments can only be processed on the guest's actual day of departure. This means upfront pre-payments aren't possible. But don't worry about remembering dates. We will send you a handy daily email reminding you exactly when it is time to process a payment!
Understanding your payment options
When you receive a TravelIT voucher, it will show you exactly how the booking needs to be billed. Here is a quick breakdown of the options you might see:
| Payment/Billing Instruction | Details |
|---|---|
| NightsBridge settles Full Billback | The room and all approved allowances (extras) are completely covered. |
| NightsBridge settles room and specified allowances | The room is covered, but only specific, approved allowances are included. |
| NightsBridge settles - Long Stay | Payment is received in installments, processed every 7 days - no waiting for the departure date |
| Billback to agent | You will need to email your invoice for the room and extras directly to TravelIT (at [email protected] or [email protected]) and simply copy the agent who made the booking. |
| Settle Direct | The guest will easily settle the full amount with you on departure. |
How the money gets to you
TravelIT uses NightsBridge Pay to securely process your payments. We will swipe the associated card and pay the money out to you within 24 to 48 working hours.
Just to keep things completely transparent, NightsBridge Pay does deduct a 10% admin fee, plus standard credit card and bank transfer fees. You can always see a full breakdown of these payments on your NightsBridge bank recon!
How to process the payment on the day of departure:
Step 1: Finding your payment link
There are three easy ways to get started:
The voucher confirming the TravelIT booking has a payment link on it. When clicked, you will be directed to the TravelIT payment page - you may need to scroll down to see the link.
Should you need it, our article on how to download a TravelIT voucher will guide you.
Here is a voucher sample.
Click on the hyperlinked text 'HERE' to go to the payment page.
Step 2: A quick security check (TravelIT Registration)
If this is your first time using the TravelIT site, or if you've recently cleared your computer's cookies, you will just need to do a quick registration to verify your identity.
- Simply pop in your first name, last name, email address, and ID number.
- You will also need to add a South African mobile number, as they will send you a quick One-Time Pin (OTP) via SMS to keep everything secure.
- Click 'Request One Time Pin'.
- Enter the code they send you (make sure there are no spaces!), and
- click 'Login with Pin'.
A quick tip: You can completely ignore the 'Username and Password Login' section at the bottom of the page. Properties don't use that part!
Step 3: Finalising the payment
Once you're logged in, the payment page makes things incredibly simple by automatically filling in the amounts authorised on the guest's voucher.
Checking what the guest was covered for.
If you would like to double check the details, the information will always be available on the booking voucher.
- Just double-check the accommodation amount and add any parking charges or agent-authorised extras if they apply (if there aren't any, just type a '0' in those fields).
- Capture the final "Invoice Total" amount and
- click the 'Pay Now' button.
If you ever see a little alert popping up saying the voucher isn't available for payment yet, it will tell you exactly which date it becomes active so you can easily try again then!
Invoicing made easy
Wondering about the invoice? We've got that covered too! NightsBridge will automatically generate an invoice on your behalf and send it straight to TravelIT.
- You can easily view this anytime on your Payments Page under 'Channel Invoices'.
