How do I map stock to an Accounting system?

If you're using an Accounting system (E.g. Xero, Pastel or SageOne), you'll need to match up your stock item codes and GL codes in NightsBridge with what you've got in the external system.

Any invoice with a stock item/extra that you want to export from Nightsbridge needs to be mapped correctly.

Account and item setup

There are 4 different heading which can be found in account setup.

  •  NightsBridge Stock Code
  •  NightsBridge VAT Code 
  • Map to existing Account in Xero
  • Tax Code in Xero

The two items that have a * next to the Accommodation and Credit Note has to be mapped but other stock items do not need to be mapped if you are no  longer selling those items

  • By using the drop-down menu select the correct Item, Account, Tax code.

Make sure that you set the item VAT code to either Default, or VAT Exempt in your Setup. This Code needs to align with the setting that you have on your accounting system, otherwise your accounting system will be incorrect.

When doing mapping you can only assign one Item (stock) on Xero to NightsBridge.

If your stock item code matches NB and Xero exactly it will auto-map but you will need to check to make sure the tax code is correct and if there is no stock or GL code when you save the mapping it will pull through the account/ item code from Xero and add it to NightsBridge.
