How to link NightsBridge and Xero

If you are using Xero as your Accounting system, you can link it to NightsBridge. Any revenue information (invoices and credit notes) generated in your bookings system can be delivered to Xero automatically.

This saves you time and money in trying to get your financial information from one system to another.

You can only integrate one NightsBridge BBID to one organisation on Xero.

Complete these set up activities

  • Set up your Xero. Please contact Xero if you need help on how to do that.
    • Create Item Codes (Products and Services) in Xero.
    • Create GL Accounts (Chart of Accounts) in Xero.
  • Make sure you have access to the Account Export tool from NightsBridge.

The integration can continue when this set up has been done.

Choose the accounting system

  • Click on Xero.

  • A note will display on how to link your Xero with NightsBridge.
  • Make sure you have your Xero login details on hand.

Connect to Xero

Click to Connect to Xero.

You will now be directed back to Xero's accounting screen.

Select the organisation for NightsBridge to be linked

Log into Xero.

How many entities are you managing in Xero?

  1. Your organisation will appear in the organisation box.
  2. Click to Allow Access.

Do you already have customers set up on Xero for your NightsBridge guests?

  • You can continue with the integration settings.

Integration Settings

The map accounts and items will need to be updated so that NB can send  your invoices with the information that Xero expects.

Doing correct mapping insures the accommodation and extras goes to the right General Ledger account and TaxType.

Credit Note Export Status and Invoice Export Status

  • This is the status of the document as NightsBridge would post to Xero.
  • Select the status you want the documents to be posted as:
    • Draft. The invoice which has been exported to Xero can still be edited.
    • Submitted. The document is is awaiting for approval to finialise an invoice.
    • Authorised. The invoice has been finalised and no changes can be made.
  • We recommend that you set your documents to "Draft" until you're comfortable with the export process.

Beginning of Financial Year

  • Select the beginning of your current financial year.

Save your integration settings

  • Click to Save the settings you have put in.

A message will appear to confirm that the settings have been saved.

Generate invoices and import invoices and credit notes to Xero

You have now finished setting up and are ready for your first batch for export to Xero.
