How to find and view previously generated batches of invoices and credit notes in the Account Export Tool

If you want to view an invoice or credit note which was previously generated, you first find the batch that it was generated in.

Log into the Export Tool

Please look at our tutorial on how to log into the Export Tool if you need more information on how to do that.

Click on History

Click on History.

The screen will list all the batches you have generated.

View previously generated batches

  • Filter the batch by User or Date.
  • Batch information includes:
    • Batch No for the batch.
    • User who created the export.
    • Date posted. Date and time the export was done.
    • Items.The Number of invoices that have been created for that specific batch.
    • Total. Total amount received.
    • Status . Status of the export. This can be awaiting, deleted or successful.

View an invoice or credit note

Click on a batch to open it. In this example, we want to open Batch 9 with a Status of "Awaiting Export".

You cannot view invoices or credit notes for batches that have been deleted.

All information relating to the batch will be displayed:

  • Transaction. The invoice or credit note number.
  • Dated Posted. The date the batch was created.
  • Description. Booking ID and the name of the guest or stating that it is a credit note.
  • Amount. The amount of the invoice or credit note.
