How to find and view previously generated batches and invoices in Xero

A batch is a collection of invoices and credit notes transactions that can be reviewed at a later time.

All information information relating to recent and previously generated batches is found under History in the Account Export Tool.

Find your previously generated batches

Access the Account Export tool

The Recent Batches screen will open.

View your previously generated batches

  • Filter on User or Date to find the batch you are looking for.
  • The batch information includes:
    • Batch No. How many batches that have been created.
    • User. The person who created the export.
    • Date posted. Date and time the export was done.
    • Items. Number of invoices that have been created for that specific batch.
    • Total. Total amount received.
    • Status. The status of the export which can be Awaiting Export, Deleted or Successful

View an invoice  in a batch

Click on a batch to open it. In this example, we want to look at invoices in Batch 9 which are awaiting export.

You cannot view invoices or credit notes for batches that have been deleted.

All information relating to the batch will be displayed:

  • Transaction. The invoice or credit note number.
  • Dated Posted. The date the batch was created.
  • Description. Booking ID and the name of the guest or advising the transaction is a credit note.
  • Amount. The amount on the invoice or credit note.
