How to Send an Online Check-Out Link to Your Guests

When check-out morning rolls around, guests are often in a rush to head to the airport, or they simply prefer the convenience of settling their bill from the comfort of their room. Sending an online check-out link allows them to pay quickly and securely on their own device, rather than waiting at the front desk.

Here is exactly how to send it:

Step 1: Open the Booking Details

Simply click on the specific booking right on your calendar to open the Booking Details window.

Step 2: Find the 'Check Out' button

You can easily find the 'Check Out' button in two places: either right on the main 'Account' panel of the booking, or by clicking 'View Account' to find it on their full Account Summary.

When you click the button, a little window will pop up with two easy options:

  • Copy Checkout Link: This option simply copies the link for you, which is perfect if you want to paste it into a quick WhatsApp message, a text, or your own personal email.
  • Email Checkout Link: This is the fastest option! The system will automatically email the payment link directly to your guest, as long as you have their email address saved in their profile.

Step 4: The guest settles their bill

When the guest opens your link, they can easily choose their preferred way to pay.

  • Paying by Credit Card: If they pay by card, the payment is securely processed through PayBridge (or your active payment gateway) and the transaction will automatically be added to their booking account for you. You will also get a handy email letting you know it was successful!
    • A quick tip: Make sure you still get the guest to physically sign their credit card transaction slip, perhaps when they drop off their room key!
  • Paying by EFT: If they select this option, they will be given your banking details so they can do a transfer and send you the proof of payment.

Step 5: Send the final invoice

Once the account is completely settled, it is always a great idea to email the guest their final tax invoice for their records.

A quick note on small payments: If a guest just needs to pay for something tiny, like a charge of R 10.00 or less, this specific link won't work. You will just need to use your standard NightsBridge Pay link instead!
