How to edit the confirmation template

Making sure your guests have the right information before they arrive sets the tone for a wonderful stay. If you want to add your property logo, helpful directions, or special pre-arrival notes to your booking confirmation, we have made it incredibly easy. This guide will walk you through exactly how to download, edit, and upload your personalised confirmation template so you can keep your guests perfectly informed.

1. Download your current template

Let us start by getting a copy of the template you are currently using.

  • Open your Online Calendar, click on 'Tools', and select 'Templates'.
  1. Choose 'Confirmation' from the drop-down menu,
  2. and click 'Download'.

If your browser gives you a warning about blocking a pop-up window, it is completely safe to allow it so your document can download from our system.

2. Open and personalise your document

  • Open your downloaded file using a program you normally use for documents, like Microsoft Word or WPS Office.
  • Now you can make it your own! Feel free to add your property logo or type in your pre-arrival information.
  • A very important note on bookmarks: You will notice words with square brackets around them, like [GuestName]. These are special bookmarks that automatically pull the correct guest details straight from the booking into your printed form. Please make sure you leave these exactly as they are. If you remove these brackets or the words inside them, those sections will simply print out blank.
  • Once you are happy with how everything looks, save the changed document with a new file name to a place on your computer where you can easily find it again. Please make sure you save the file as a standard ".docx" document.

3. Upload your new template

Now that your template is ready, let us put it back into your system.

  • Head back to your Online Calendar, click 'Tools', and choose 'Templates' again.
  • Select 'Confirmation' from the drop-down menu and click 'Upload'.
  • Click the 'Upload' button.

A window will open allowing you to navigate to where you saved your personalised file.

  1. Select your document.
  2. Click 'Open'.
  • Click 'Done'.

4. Take it for a quick test run

Let us make sure your changes are working beautifully!

  • Open any booking and click on the 'Guest Communications' button.
  • Select 'Print Confirmation' to generate a fresh copy. You will now be able to check that your new logo and information are displaying perfectly.

If you ever make a mistake or need to start over from scratch, do not worry! We have a blank default confirmation document available for you to use.
