How to edit the registration template

The registration form is normally given to a guest upon arrival, at check-in.
It will allow you to get additional guest information such as their email address, company details, nationality and also ID or passport numbers.  

This registration form can be printed or send in an email for the guest to complete. Once the completed form is received, you can use this information to update the guest profile on NightsBridge.
Search for our tutorial called 'Viewing or editing guest client details' for guidance on this.

The feature, 'Online Guest Registration', that is found under 'Guest Communications' on the booking details on your calendar that automatically updates the guest information on your calendar.

Open Rates & Rules (Setup) and click on 'Templates'

Select the template and click 'Download'

  1. Click on the drop-down menu to show the options.
  2. Select 'Registration'
  3. Click 'Download'.

Open the Registration document

Once you have clicked on download, you may get a pop-up message telling you that your browser is blocking the site from opening the pop-up window.
Allow this as it is a safe document to download from our system.

  1. Select 'Open with' and chose the program you use to open documents.
    In the image below WPS Office is selected. You may be using Microsoft Word.
  2. Click 'OK'.

Start editing your template

If you wish to include additional fields on your registration template, information on how to do this is available in the document, 'Registration and Confirmation Info.doc', linked below:
Note that each bookmark needs to have square brackets - like this: [and] - at the beginning and end of each word that we list on the document for additional fields.

Do not remove the bookmarks (eg. [GuestName]), unless you do not want the data to pull from the booking when you generate the registration. Removing these fields will result in a blank registration.

Once the template is open, you can edit the document by adding your logo and information like the terms and conditions.
Make sure to save the changed document with a new name in a place you can find if you need to make more changes.

Upload the edited Registration document  

Once you have made your changes, upload the document in the Templates section, where it was downloaded from.

  1. Select 'Templates' - within Rates & Rules (Setup).
  2. Select 'Registration' from the drop-down menu.
  3. Click 'Choose File' and select the file that you edited and saved.
  4. Click 'Upload'.

Generate the Registration to make sure your changes are working as expected

  1. Select 'Guests Communications' within the Booking details of a booking.
    The Guest Communication options will display.
  2. Click 'Print Registration'.

Open the document

Check that the fields and information you edited on your template are displaying correctly.
