Welcoming guests should be a warm experience, not a paperwork headache. Having your registration document ready with your property's specific details provides a wonderful opportunity to get additional information that might not already be on the client's profile. If you want to add your logo, paste in your terms and conditions, or include extra fields on your NightsBridge registration template, we have made the process straightforward. This guide will show you exactly how to download, edit, and upload your personalised registration document so you can gather the right guest information.
A helpful tip to save time:
Did you know you can save even more time with our Online Guest Registration feature? You can find this under 'Guest Communications' directly on your booking details. When guests fill this out online, the information they provide automatically updates on their NightsBridge profile. If you prefer using the printed version, just follow the simple steps below!
1. Download your current template
Let us start by getting a copy of your template.
- Open your Online Calendar, click on 'Tools', and select 'Templates'.
Note: If your browser gives you a warning about blocking a pop-up window, it is completely safe to allow it so the document can download!
- Choose 'Registration' from the drop-down list and click 'Download'.
2. Open and edit the document
- Open your downloaded file using a program you normally use for documents, like Microsoft Word or WPS Office.
- Now you can make it your own! Feel free to add your property logo or type in your terms and conditions.
- A very important note on bookmarks: You will notice words with square brackets around them, like [GuestName]. These are special bookmarks that automatically pull the guest's details from the booking into your printed form. Please make sure you leave these exactly as they are. If you remove these brackets or the words inside them, those sections will simply print out blank.
- Once you are happy with how everything looks, save the changed document with a new file name to a place on your computer where you can easily find it again.

3. Upload your new template
Now that your template is ready, let us put it back into your system.
- Head back to your Online Calendar, click 'Tools', and choose 'Templates' again.
- Select 'Registration' from the drop-down menu and click 'Upload'.
- Click the 'Upload' button.
- A window will open allowing you to navigate to where you saved your personalised file. Select your document, click 'Open', and then hit 'Done'.
4. Take it for a quick test run
Let us make sure your changes are working as expected!
- Open any booking and click on the 'Guest Communication' button.
- Select 'Print Registration' to generate a copy. You will now be able to check that your new logo and information are displaying perfectly!
