How to View, Edit, or Change the 'Booking Made By' Details

Sometimes the person making the reservation isn't the person actually arriving at your property. Like an admin assistant booking for their boss, or a travel agent making arrangements for a client. Keeping the main booker's details accurate ensures your invoices go to the right place and your communications hit the right inbox.

Here is how to view, edit, or completely change the person responsible for the booking:

Step 1: Open the Booking Details

Simply click on the specific booking right on your calendar to open the Booking Details window.

You will see a section labelled 'Booking Made By', which shows you exactly whose client profile owns the reservation.

Step 2: View or edit the current booker's details

If you just need to check their history or update a typo in their email address, click the 'Edit Client' icon.

From this screen, you can easily:

  • Update their basic contact info, add a company VAT number, or include an address.
  • Add handy guest-specific notes or link an STO Rate Sheet if they are a regular travel agent.
  • View their complete booking history with you, as well as any past accounts and financial transactions.

Once you have made your updates, just click 'Save'!

Step 3: Change the booking to a completely different client

If the booking was accidentally assigned to the wrong person, or a travel agent is taking over the reservation, you can easily swap the booker out.

  • On the main Booking Details window, click the 'Change Client' button.
  1. If the new booker is already saved in your system, simply search for their name and click on it.
  2. If they are brand new, click 'Add Client' to capture their fresh details and hit 'Save'.

Step 4: Lock in your changes

You will now see the updated client sitting neatly under the 'Booking Made By' section.

Just save the main Booking Details window one last time to lock everything in!
