How to add or remove the VAT calculation on an excel invoice template

If you previously were not registered for VAT but you are now registered for VAT, you will need to add the VAT calculation on your NightsBridge invoice and proforma invoice template. Adding the VAT calculation to your invoice allows the system to identify which items have VAT and which items need to be VAT-exempt. The same principle applies for if your business is not VAT registered and you need to remove this calculation.

Open the Setup and click on 'Templates'

If you need help finding the setup, you can use our tutorial 'How to find Setup' to assist you in navigating to the Setup.

Select the template and click 'Download'

  1. Click on the drop-down arrow that says 'Select'.
  2. Select the 'Invoice' template.
  3. Click 'Download'.

Your invoice template will now open in an application on your computer

Once you have clicked on download, you may get a pop-up which tells you  that your browser is blocking a site from opening a pop-up window. You  can allow this as it is a safe document to download from our system.

If you use 'Excel' on your computer, you will be able to open the document using this application. If not, there are other applications that can be used to open an 'XLS' files like 'WPS' or 'Numbers' if you use a Mac.

Change the invoice template

  • Select the cell which must contain the formula.

1. Click on your Formulas tab.

2. Click on Define names.

  1. Add NBVATAmount in the name field.
  2. Change Scope from Workbook to Sheet1.
  3. Click OK.

The VAT calculation has now been added to the template and will be displayed when an invoice is generated.  

  • Add 'VAT' to the name field.

If you previously had a vat calculation formula in this cell, please remove it so the new vat calculation will work.

Upload your new invoice template

  • Save the invoice template in a place that you can easily find later.

Make sure that you do not change the name of the document or the extension (i.e. invoice.xls).

Go back to your the Templates section on the Setup.

  1. Choose 'Invoice' from the 'Template' drop down list.
  2. Click to 'Choose File' and select your edited document that you saved.
  3. Click on 'Upload'
  • A message will display to show you have successfully uploaded your new template.
  • Any new invoice that you generate on BridgeIT now include the VAT calculation.

Make sure that you do the same with your Proforma template, if you use them. Just repeat the steps above but for the proforma.

Now that you have added the VAT calculation to your invoice template, you will need to update you rates on NighstsBridge.

Removing the VAT calculation from the invoice

When you remove the VAT calculation bookmark on your template, you can upload the template following the steps above.

Change the invoice template

  • Select the cells which contain "Vat No:" and "VAT".
  • Click to Delete on your keyboard to remove this information.
  • Select the cells which contains "R0.00"
  • This will show you the bookmark "NBVatAmount"

1. Click on your formulas tab.

2. Click on Name Manager.

  1. Select the bookmark "NBVATAmount".
  2. Click Delete.
  3. Click OK.
  4. Click Close.
  • The VAT calculation has now been removed from the template and will no longer be displayed.
