You may need to capture additional information about the person making the booking. This includes adding their contact number, email address or add additional information, and check their booking history.
This tutorial will guide you through:
- viewing the 'Booking Made By' information
- editing the existing 'Booking Made By' client details
- changing the existing 'Booking Made By' client details to those of another client.
Open the booking
Click on the booking to open the Booking Details.
The 'Booking Made By' field will display the information captured as the client details for the person who made the booking.
View the available information
Click on the 'Edit Client' icon.
Here you can:
- View a list of the past & current accounts
- Displaying all open and closed accounts for the client.
- View and/or add transactions
- Displaying all transactions on the client accounts.
- All financial transactions such as charges, payments, credit notes and journals are provided.
- View the guest history
- Returning guests will have a booking history displayed here.
- Providing the Booking ID, arrival and departure date, as well as the amount of nights they have stayed.
Open the booking
Click on the booking to open the Booking Details.
Click on the 'Edit Client' button within the Booking Notes panel of the Booking Details.
The Edit Client page will open.
Made any needed changes to the client information by updating the available fields within in the tabs.
- Click 'Save' once all changes have been made.
You will be returned to the Booking Details.
Capturing the VAT number and company details
You are able to add additional information such as the company VAT number and address if it is required.
Allocating a rate sheet and capturing guest-specific notes.
- Rate Sheet in use:
If you would like to link a different rate sheet you will need to set up an STO Rate Sheet and link it here.
Future bookings made for this particular client will have this linked rate sheet applied. - Notes:
Here you can add guest-specific notes such as such as dietary preference, special requests, or link a rate sheet to the client ID.
Click on the change client button
Click on the 'Change Client' button within the Booking Notes panel of the Booking Details.
Changing to an existing client
If you are choosing an existing client:
- Type in any of the search criteria - the client records for the information added will appear below.
- Click on the client to change the Booking Made By information.

Adding a new client
Should you want to add a new client - one with no existing client record, click on 'Add Client'.

Add the new client's details
- Add the client name, surname and any other available information.
- Click 'Save'.
